Position Overview

Julia Amory is seeking an enthusiastic Product Operations Coordinator to join our corporate team. This individual will play a critical role in supporting the product lifecycle—from development through launch—by managing product samples, maintaining product data, supporting quality control, and coordinating cross-functional initiatives.

This role serves as the central point of coordination for all product samples while also partnering closely with Product Development, Creative, Merchandising, Marketing, Technical Design, and Planning to ensure products are launch-ready. The ideal candidate is exceptionally organized, detail-oriented, and thrives in a fast-paced environment with multiple competing priorities. Success in this role requires a proactive mindset, strong communication skills, and the ability to anticipate needs before they arise.

Key Responsibilities

Sample & Product Management
  • Own and maintain all product sample inventory across development, marketing, and sales.
  • Receive, unpack, label, organize, and maintain all incoming product samples.
  • Maintain accurate sample inventory records and storage systems.
  • Coordinate the distribution and return of samples for:
  • Photoshoots
  • Retail stores
  • Sales meetings
  • Press and influencer requests
  • Manage sample check-in/check-out processes and ensure timely returns.
  • Monitor sample condition and coordinate replacements when necessary.
  • Steam, prep, and organize samples for photoshoots, meetings, and presentations.
  • Pack and ship domestic and international sample requests.
Product Development & Production Coordination
  • In coordination with Head of Production, support the Creative Director throughout the product development process by coordinating sample reviews, fit sessions, and product approvals.
  • Act as the primary coordinator for sample feedback, documenting comments related to fit, quality, construction, color, trims, and finishing details.
  • Coordinate internal and external fitting sessions, ensuring all samples, notes, and revisions are organized and communicated to vendors.
  • Proactively communicate product revisions and development updates across departments whenever adjustments are made.
  • Assist in tracking development timelines to ensure samples are reviewed and approved on schedule.
Quality Control
  • Perform preliminary quality control inspections on prototype, production, and marketing samples.
  • Review samples for color accuracy, construction, workmanship, fabric quality, measurements, labeling, and overall presentation.
  • Provide preliminary sample approvals prior to final Creative Director review.
  • Identify inconsistencies or quality concerns and coordinate corrective actions with Product Development and vendors.
  • Assist in documenting quality issues and maintaining quality control standards throughout development.
Product Data Management
  • Own and maintain product data across internal systems.
  • Build and maintain product databases, ensuring information is accurate, complete, and up to date.
  • Create product listing skeletons in Shopify with foundational product information prior to launch.
  • Maintain product specifications, colorways, sizing, pricing, and merchandising information.
  • Organize and maintain digital assets including product photography, line sheets, and product documentation.
  • Ensure consistency of product information across Shopify, merchandising tools, and internal systems.
Cross-Functional Collaboration
  • Partner with Merchandising, Marketing, Planning, Technical Design, and Product Development throughout the product lifecycle.
  • Collaborate with Technical Design and Planning to develop accurate customer size guidance before product launches.
  • Work with Marketing to ensure launch-ready product information, imagery, and samples are available on schedule.
  • Communicate product updates and development changes proactively across departments.
Administrative & Operational Support
  • Maintain organized production files, vendor records, and product documentation.
  • Coordinate domestic and international shipping and logistics.
  • Prepare shipping labels and manage incoming and outgoing deliveries.
  • Support operational initiatives and special projects as assigned.

Key Responsibilities
